Privacy & Information Use
What information we collect
Depending on the service you use, the Umtentweni CPF may collect your name, mobile number, email address, residential address, resident verification status, community-group access request, patrol interest or availability, and — for security personnel — company, role and operational-access information. CPF reporting forms may also contain information you voluntarily provide about a community safety concern.
Why we use it
Information is used to maintain the CPF resident register, verify eligibility for community WhatsApp groups, process resident updates, coordinate approved patrol participation, manage security-partner access, administer community-safety reports and support authorised CPF operations.
Who can see resident information
The private resident database is restricted to authorised Umtentweni CPF Executive Committee members: the Chairperson, Vice Chairperson, Secretary and Treasurer, together with the technical Administrator account used for system administration. Resident records are not publicly searchable, and public forms do not reveal who else is registered at an address.
Multiple people at one property
More than one registration at a property is not automatically treated as a duplicate. Residents may be asked whether the records represent family members, tenants, a landlord, separate units or cottages, a previous resident, or another legitimate arrangement. One resident is never shown another resident’s contact details through the public confirmation process.
WhatsApp groups
A request for WhatsApp-group access does not automatically grant membership. Resident registrations are verified before a private community-group invitation is issued. Approved security personnel are routed to the separate Umtentweni CPF Crime Prevention Network. Private group invitation links are held in the restricted admin system and are not displayed publicly.
Historical and inactive records
Older CPF databases are being reconciled against current registrations. Historical information is not treated as proof that a person is still a current resident. Records may remain unverified or be marked for duplicate, address or inactive review until confirmed.
REACH3 safeguarding
REACH3 information is kept separate from ordinary CPF resident, patrol and community-group records and is restricted to specifically authorised responders.
Correcting your information
Residents can use the registration/update and confirmation processes to correct their contact or address information, or to tell the CPF that they no longer live in Umtentweni. Requests that cannot be safely matched are reviewed by an authorised Committee member rather than being merged automatically.
Questions or corrections
For a privacy or resident-record query, contact info@umtentwenicpf.co.za. Please do not post personal information in public or community WhatsApp groups.
This notice describes the CPF’s current information-handling process and is intended to support responsible handling of personal information under applicable South African privacy requirements. It is not a certification or blanket legal-compliance claim.
